This Privacy Policy governs the HawkBooks mobile application (Android) and desktop software (Windows PC). HawkBooks is engineered as an offline-first billing and accounting system, ensuring maximum data security and privacy.
2. Information We Collect
Depending on how you use HawkBooks, we may process the following types of information:
- Business Profile Information: Business name, address, GSTIN, phone number, state, and optional company logo.
- Transactional & Financial Records: Customer/party names, contact numbers, item inventory, purchase & sales invoices, payments, and expenses. This information is stored 100% locally on your device in an encrypted database.
- Technical Device Information: OS version, device model, and crash logs to ensure app stability.
3. Device Permissions & Purpose Disclosures (Google Play Policy)
In accordance with Google Play Developer Policies, HawkBooks only requests permissions strictly necessary to execute its core billing and accounting features:
- CAMERA (android.permission.CAMERA): Used exclusively for scanning barcodes and QR codes on products during fast billing and checkout. Camera frames are processed in real-time in memory and never recorded or sent to any remote server.
- BLUETOOTH & BLUETOOTH_CONNECT (android.permission.BLUETOOTH): Used to discover and connect with 58mm / 80mm wireless thermal POS receipt printers for instant printing.
- STORAGE / MEDIA ACCESS: Used solely to export and save PDF invoices, Excel spreadsheets (GSTR-1, 3B), and create local backup files on your device.
- INTERNET & NETWORK STATE: Used for voluntary cloud sync, checking app update availability, and auto-sending invoices via WhatsApp or email when triggered by the user.
4. Data Storage, Security & Encryption
Your billing records, customer lists, and financial books are stored locally on your device. All network communications (such as Cloud Backup or Sync) are encrypted using industry-standard TLS/HTTPS protocols (AES-256 encryption in transit). We do not sell, rent, trade, or share your business data with any third-party advertisers.
5. Third-Party Services
HawkBooks may integrate with trusted third-party providers:
- WhatsApp (Meta Cloud API / Deep Link): For delivering PDF invoices directly to customers upon user confirmation.
- Google Drive API: Optional feature allowing you to store encrypted backups in your personal Google Drive account.
6. User Data Deletion & Account Deletion Policy (Google Play Mandate)
We respect your right to manage and delete your personal and business data at any time:
- Local Data: You can completely clear all business data at any time by navigating to Settings > Clear All Data within the app, or by uninstalling the application.
- Cloud Backup Data Deletion: To request deletion of any business snapshot stored on the HawkBooks VPS cloud, email us at [email protected] with your registered business phone number. All cloud records will be permanently expunged within 48 hours.
7. Children's Privacy
HawkBooks is a commercial business and accounting productivity application intended for entrepreneurs and business operators. We do not knowingly collect personal information from children under 13.
